This Privacy Policy explains how SitReps, operated as a sole proprietorship based in Florida ("we," "us," or "our"), collects, uses, shares, and protects personal information when you use sitreps.app and its chair-flying practice tool (the "Services"). By using the Services you also agree to our Terms of Service.

What do we collect? Your name, email address, and role when you register; the text transcripts of your spoken practice attempts and the debriefs generated for them; and anything you send us through feedback or the contact form.
Do we record your voice? No. Your browser turns your speech into text, and we receive only the text. See Voice and speech recognition.
Who can see your data? The service providers that run SitReps, and approved flight instructors, who can see your name, email, and debriefs, but not your transcripts.
Do we sell your data or use it for advertising? No. We do not sell personal information, share it for targeted advertising, or use advertising or analytics trackers.
Can you delete your data? Yes. You can delete your account at any time from your account page.
Please don't include sensitive personal details (such as health, financial, or government ID information) in practice attempts, feedback, or messages.
When you speak a practice attempt, your browser's built-in speech recognition converts your speech to text. We never receive, record, or store audio. To do this conversion, your browser may send the audio to its own speech service, for example Google's in Chrome or Microsoft's in Edge, under that company's privacy policy. Only the resulting text transcript is sent to us. We do not create voiceprints or any other biometric identifiers.
Like most websites, our hosting and authentication providers keep standard technical logs when you use the Services: your IP address, browser and device type, the pages or endpoints requested, and timestamps. These logs are used to run, secure, and troubleshoot the Services. We do not use analytics or advertising tools, and we do not collect your precise location.
We do not sell your personal information or share it for targeted advertising. We share it only in these situations:
We store only what the site needs to work, such as keeping you signed in, in your browser's local storage and, for administrators, a single session cookie. We do not use analytics, advertising, or cross-site tracking cookies, pixels, or web beacons. Our Cookie Policy lists exactly what we store and why.
Debriefs are generated by an AI model provided by Anthropic. When you submit a practice attempt, we send Anthropic the text transcript of your attempt together with the maneuver's step list. Anthropic returns the debrief, which we store and show to you. We do not send your name or email address with the transcript. Anthropic processes this data as our service provider under its commercial terms.
AI-generated debriefs can be wrong or incomplete. They are a study aid, not an evaluation. See our Terms of Service.
We may also keep information when needed to comply with the law, resolve disputes, or enforce our Terms.
Security. All traffic to the Services is encrypted with HTTPS. Database access rules let you read only your own records, and changes to accounts, roles, and practice history go through our server. We limit administrative access to what is needed to operate the Services. No system is perfectly secure, so we cannot guarantee absolute security. If a breach affecting your personal information occurs, we will notify you as required by law.
Account information. You can view your account information at any time on your account page. To change it, contact us.
Deleting your account. You can delete your account yourself at any time from your account page, or ask us to do it. Deleting your account permanently removes your account and profile (including your name and email address) from our active databases. Your past practice attempts and any feedback you submitted are kept only in anonymized form, as described in section 6.
Withdrawing consent. Where we rely on your consent, you can withdraw it at any time by contacting us.
Browser storage. You can clear what we store in your browser at any time; see our Cookie Policy.
Some browsers offer a Do-Not-Track ("DNT") setting. Because we do not track you across websites or use advertising or analytics trackers, there is no cross-site tracking for a DNT signal to turn off. There is no uniform standard for DNT signals, so we do not respond to them differently.

We do not sell personal information, share it for targeted advertising, or use it for profiling that produces legal or similarly significant effects, so there is nothing to opt out of.
Use our contact page. We may need to verify your identity before responding, usually by confirming the request comes from the email address on your account.
California Civil Code Section 1798.83 lets California residents ask which personal information a business has disclosed to third parties for their direct marketing purposes. We do not disclose personal information to third parties for their direct marketing purposes.
We may update this Privacy Policy from time to time. We will change the "Last updated" date above, and for material changes we will give reasonable notice, such as a notice on the site or an email.
